Task

To organize the annual BeeTech IT Conference as a platform for networking and knowledge exchange among industry leaders and technology professionals, while maintaining a balance between business-focused content and an informal atmosphere.

Idea

Our goal was to create more than just a conference — we wanted to build a dynamic environment where engineers, managers, data specialists, and AI professionals could exchange knowledge, ideas, and experiences. The venue was divided into dedicated thematic zones, making it easy for attendees to navigate the event and find the most relevant content. We also incorporated informal networking and activity areas, giving participants opportunities to connect, recharge, and continue conversations beyond the conference sessions.

Execution

The full venue setup and preparation took 3 days and 2 nights. Our team was responsible for end-to-end coordination with all project partners, including Narxoz University and Pro Hunters. The conference took place on the university campus, which was fully transformed and branded for Beetech 2026. The event program was divided into three thematic tracks: Data & AI, Engineering, and Management. We designed the logistics of the entire venue, adapting materials for different areas, planning attendee flows, organizing five access control points, and implementing a registration and wayfinding system throughout the campus. To ensure uninterrupted operation of all digital services, high-speed internet connectivity was provided via Starlink. The outdoor area featured catering with unlimited coffee, a 16-meter branded banner, relaxation zones, and charging stations. Inside the venue, we built out the key event spaces, including stages equipped with professional AV systems for presentations and live streaming, as well as simultaneous interpretation in Russian and Kazakh. The lounge areas were designed as comfortable, informal spaces with bean bags where attendees could network, work between sessions, or simply relax. An entire second floor was dedicated to gaming and community activities, offering additional areas for networking, light entertainment, and recharging between tracks. As an additional digital engagement layer, a dedicated Telegram bot was launched for each track, allowing attendees to ask questions, submit feedback, and receive event support throughout the conference.

Result

The result was a large-scale conference with a clear track structure and intuitive spatial navigation. Participants were able to seamlessly move between educational sessions, networking opportunities, and informal activities, maintaining engagement throughout the event without fatigue or cognitive overload.

Thanks to carefully designed logistics and the implementation of digital solutions, attendee traffic was efficiently managed, ensuring seamless operation of all event areas without bottlenecks.
